Private Hire - Terms & Conditions
1. Booking Confirmation
• All event bookings are subject to availability and will only be confirmed once a confirmation email has been sent and a non-refundable deposit of 50% of the minimum spend has been received.
• The minimum spend is £800 for events held Monday – Thursday (Option 1) and £1,500 for events held Friday – Sunday (Option 2).
• A further 50% of the remaining balance is due 7 days before the event. Failure to pay this by the deadline may result in the cancellation of the booking.
2. Minimum Spend
• Option 1: Private venue hire on Monday – Thursday requires a minimum spend of £800 on food and drink. (£1,500 throughout November & December)
• Option 2: Private venue hire on Friday – Sunday requires a minimum spend of £1,500 on food and drink. (£2,000 throughout November & December)
• If the minimum spend is not met during the event, the remaining balance will be added to the final bill.
• Please note minimum spend does not include the wine machine.
3. Pre-Orders
• All pre-orders for the selected food package must be chosen & sent via email no later than 7 days prior to the event. It is the responsibility of the customer to ensure their pre-order is submitted on time.
• Failure to provide pre-orders by this deadline may result in limited menu availability, additional charges, or even event cancellation.
• Please notify us about any allergy requirements at least 7 days before the date of your booking.
4. Cancellation Policy
• More than 30 days’ notice: Full refund of any payments except the deposit.
5. Event Duration
• Venue hire includes a maximum duration of 4 hours. Any additional hours will be charged at £250 per hour or £300 on the bar.
• BistroBar will close at 11 PM. Events must conclude by this time, with a 15-minute grace period for guests to leave. Any additional time will be charged at £150 per 30 minutes.
6. Food and Drink
• Menus must be finalised no later than 7 days before the event via email: info@BistroBar.co.uk. Failure to do so may result in event cancellation.
• External food and drink are not permitted unless pre-approved.
• Special dietary requirements must be communicated at least 7 days in advance.
7. Decorations and Setup
• Decorations are permitted but must not cause damage. Confetti, glitter, and open flames are prohibited.
• All decoration items/props must be cleared at the end of the event. Failure to do so, or if confetti is used, will incur a charge of 10% of the final bill.
• Access for setup is available 15 minutes prior to the event unless otherwise arranged.
8. Damages and Liability
• Any damage to the property or equipment caused by guests will be charged to the booking party for the cost of repair or replacement (e.g., broken tables, chairs, etc.).
• BistroBar is not responsible for any lost or stolen items.
9. Guest Conduct
• The booking party is responsible for ensuring all guests behave respectfully.
• BistroBar reserves the right to end the event without refund if guests display inappropriate behaviour.
10. Special Requests
• Guests are welcome to bring their own music or playlist to create the desired atmosphere for their event. BistroBar provides access to compatible audio equipment; please discuss specifics in advance.
• Additional services (e.g., photographers, entertainment) can be arranged upon request. Fees may apply.
11. Force Majeure
• BistroBar is not liable for cancellations due to unforeseen circumstances such as natural disasters, government restrictions, or other events beyond our control.
• In the event of such circumstances, deposits will be forfeited.
12. Payment Methods
• We accept credit cards, bank transfers, and cash.
• Cheques are not accepted.
13. Age, Drinking and Drugs Policy
• Guests must be aged 18 or over to consume alcohol at the venue. Proof of age may be requested.
• BistroBar operates a strict policy on alcohol consumption. We reserve the right to refuse service to any guest who appears intoxicated or displays disruptive behaviour.
• The use of illegal drugs is strictly prohibited. Any guest found using illegal substances will be asked to leave the premises immediately, the event will be terminated without refund, and the full amount for venue hire will be charged.
14. Private Booking
• If a booking includes 20 or more people, it will be considered a private venue hire.
